NEMT booking software: every way a trip can reach you, on one board
Duet's NEMT booking software takes trip requests from every channel — phone calls your team answers, a voice AI that answers when you can't, email, your website's booking form, a facility portal, and broker trips — and lands them all on one dispatch board, with nothing re-entered.
Six ways a trip can reach you. Six ways to lose one.
Trip requests don't arrive in one tidy queue. The phone rings while you're driving. A facility sends a fax. A broker sends a manifest somebody has to re-key. An email sits unread until tonight. And the family that wanted to book online at 9 pm never reached you at all — there was nothing to click.
Each channel is a chance to lose a ride — not because you're careless, but because each one arrives in a different place, in a different format, waiting to be copied into the schedule by hand. The trip that never makes it out of the inbox doesn't look like a mistake. It looks like a quiet Tuesday.
Duet's answer is one front door with six entrances: however the trip arrives, it lands on the same dispatch board.

The six booking channels
Duet takes trip bookings six ways: phone calls your team answers, phone calls the voice AI answers, email requests, your website's booking form, the facility portal, and broker trips. Every one of them lands on the same dispatch board, in the same format, with nothing re-entered. Here's how each one works:
Phone, answered by your team
A dispatcher takes the call and enters the trip once, while the caller is still on the line. It's on the board before the handset is down — no notepad, no re-keying later.
Phone, answered by Duet's voice AI
When nobody can pick up — nights, weekends, mid-transfer — the AI answers, books the trip itself, and texts the rider a confirmation. The trip lands on your board like any other.
Meet the voice AIEmail requests
Booking requests that arrive by email go onto the same board as everything else. One queue for the day, not a second inbox you have to remember to check.
Your website's booking form
A form-fill on your site drops a trip request straight into your Duet account, and you get notified. Accept it or decline it — either way, no ride slips by unseen. Duet generates your booking link, so any site can offer it: point your booking button at the link, or have us build the site around it.
Websites by DuetThe facility portal
Hospitals, rehabs, and nursing homes book trips with you directly — no phone tag, no fax to decipher. A portal booking is on your board the moment the facility places it.
See the facility portalBroker trips
Trips from your brokers land on the board through direct integrations, and trip files from many more brokers come in by import. Broker volume sits next to your private-pay trips — no re-keying manifests.
Broker integrationsWhat happens after the trip is booked?
The moment a trip is booked, Duet handles the follow-through: the rider gets a confirmation text, the family can get a live tracking link, recurring trips schedule themselves, and reminder calls or texts go out before pickup — so the ride you booked is the ride that actually happens.
The rider gets a confirmation text
Trip details in writing, right after the booking — so "did that go through?" calls never start.
The family can watch the ride
A live tracking link opens in the browser — on the way, picked up, dropped off. No app to download.
Rider tracking linksRecurring trips schedule themselves
The Tuesday-Thursday dialysis run gets booked once. After that, it puts itself on the board.
Reminders go out before pickup
Automated calls or texts to the rider, a family member, or a caregiver — so no-shows don’t eat the schedule you built.
One trip record, no matter how it arrived
Every booking channel in Duet writes to the same trip record. A portal booking, a voice AI booking, and a broker trip aren't three entries to reconcile — they're the same kind of trip on the same board, and everything downstream reads from that one record.
That's what makes the intake worth centralizing. Dispatch and scheduling assigns the trip to a vehicle, the driver app puts it in the driver's hands, and billing turns the completed trip into an invoice or a CMS-1500 claim — nothing re-entered at any step.
The booking channels have a team behind them, too. Duet isn't just software: the same company builds the websites the form lives on, runs the search ads that fill it, and cold-calls the facilities that use the portal. When you want more trips coming through these channels — not just better-run trips — the growth services are one conversation away.
What does NEMT booking software cost?
With Duet, nothing separate. All six booking channels are part of the software — trip intake isn't a paid module, and there's no per-channel fee. The software is free for providers running fewer than 100 trips a month and usage-based after that. Most providers pay less than $50 per active vehicle per month, with no per-vehicle license fee, no setup fee, and no contract — Duet is month-to-month and never takes a cut of your trip revenue.
The alternative is running trip intake as a stack of subscriptions: an answering service here, an online booking widget there, dispatch software underneath, and you as the integration between them. Duet folds the whole front door into the platform you'd be running anyway.
Full software and services pricing lives on the pricing page.
Trip booking questions, answered
Can riders book online without calling?
Yes. Your website's booking form lets riders and families request a trip online — the request drops into your Duet account, you get notified, and you accept or decline it. Facilities book online too, through the facility portal. After booking, riders follow their trip in the browser with a tracking link. There's deliberately no rider app to download — nothing to install, nothing to teach.
Do I need a website to take online bookings?
Any website works. Duet generates a booking link for your business — have your site's "book a ride" button link to it, and requests start dropping into your Duet account. That's the whole setup. And if you don't have a site yet, or yours works against you, Duet builds and refreshes NEMT websites with booking built in.
Can facilities book their own trips?
Yes. Hospitals, rehabs, and nursing homes book and track their trips with you directly through Duet's facility portal — no phone tag, no fax machine. New to facility work? Read how to get your first NEMT trip from a facility.
How do broker trips get onto the board?
Two ways: direct integrations that land broker trips on your dispatch board, and trip file import for brokers that send their trips as files. Either way, broker trips show up next to your private-pay and facility trips with nothing re-keyed. The broker integrations page has the full picture.
Does the voice AI actually book trips, or just take messages?
It books trips. The agent answers 24/7, collects the rider's name, pickup and dropoff, time, and mobility needs, books the ride onto your board, and texts the rider a confirmation. The full story is on the voice AI answering page.
Can a family member book a trip for a rider?
Yes. A daughter can call and book for her father, whether your team answers or the voice AI does — and the AI takes calls in Spanish too. The rider gets a confirmation text, and reminder calls or texts can go to the rider, a family member, or a caregiver.
What happens when someone books through my website?
The form-fill drops a trip request straight into your Duet account, and you get notified. You accept it or decline it — a website booking never commits your schedule without you. Once accepted, it's a trip on the board like any other, and the rider gets a confirmation.
What does NEMT booking software cost with Duet?
Nothing separate — every booking channel comes with Duet's software. The software is free for providers under 100 trips a month and usage-based after that; most providers pay less than $50 per active vehicle per month, with no setup fee and no contract. Full details are on the pricing page.
